I am Creating a program that keeps track of money received by an organization each year. Now each year they want to archive the prior year's record and start fresh for the new year. Is there a way to delete / archive the prior year's records (and still have access), without deleting one by one? Then start "new" with current year?

Hey Klaus, I could be wrong, but I believe the best way to do that is to create the software so that there is a "Year" field, not just a full date. Hell, you could call it "Fiscal Year" or something like that to justify the need for it...

Then, when your client wants to omit last year's figures, s/he can simply enter the year into the search box, or use the filters, export them for backup/archival purposes and then (when all are highlighted) right-click and "delete"...

S/he could simply set up a "filter" and NOT delete anything... set up a filter to show just this year's figures/entries...

Yes, I was thinking on adding a "year" field, but I thought the database would get too large over the years, since they also keep track of who gives money, with name, address, phone; whether cash, check and check number?

I was also thinking on exporting prior year into a csv file, within my program; perhaps make an "object" Archives?

I'm not sure if this "organization" is a person (small), company (medium) or corporation (large), but, this is also a good time to use the networkable options within TSB. Your customer (even easier if they are local to you) could set up the software to use a database on a separate PC so that the size would matter less (obviously, the size still matters in way of functioning speed), but, would be less of a concern and would also have an off-site back up sort to speak...

If your customer is local, this is also a great chance for you to rake in some big bucks by offering an "Annual Maintenance" or even a "Bi-Annual" (6 months) package where YOU would go in, perform the export and turn it into usable data for your customer(s) -- charts, graphs, readable CSV files, etc...

Again, not sure if any of this helps or even relates to your exact needs, but figured 'd throw it at you to get you to start thinking outside the box a little as well as thinking of ways to create additional sustainable income later on...

Hi Klaus,


You can select multiple rows to delete. You don't have to delete them one by one. I would set a category of the year for them so you can group all records being shown for the year.


If you want to archive, then export the list to a csv file and save it somewhere on the computer. Or you can create a software object called archives and use the file editor to save it inside the application. So you would export the rows to archive and then add that file to the Archive software object.

Both of you have some very good ideas, so now I just have to play around and decide which way I want to go. You know what they say: "be careful what you wish for, you may just get it," now I have too many options. Thanks; I think.
